Request for Proposal

DEFINITION: Coordinate La Pietra's annual HOOPLA fund-raising auction event

SCOPE OF ACTIVITY:
Work with event chair and committee to ensure completion of all items on HOOPLA timeline; beginning with initial planning meetings in September, all activities leading up to the event on March 13, 2010 with reports and follow-up through March 31, 2010.

DUTIES AND RESPONSIBILITIES

Meetings
* Work with Event Chair to prepare agenda and meeting materials
* Coordinate and schedule all HOOPLA meetings
* Attend meetings, draft minutes, make necessary edits and distribute

Auction
* Update prospect database/mailing list
* Record donations and send thank-you letters
* Coordinate delivery and storage of donated items
* Prepare catalog
* Prepare bid sheets, paddles and all collateral materials for event
* Provide follow-up after auction for delivery of items

Event
* Responsible for follow-up of ticket/table sales
* Coordinate all food, beverages, decorations, music and entertainment
* Coordinate the activities and assignment of tasks for volunteers, maintenance staff, faculty and vendors prior, during and after the event

Mailings
* Ensure necessary materials are printed and delivered in a timely manner
* Coordinate addressing of “save the date” cards and invitations
* Coordinate preparation of mailing, using bulk mailing when possible

Include company background; event planning experience; references and fees.
